ASCE Conferences Proceedings Paper Formatting Instructions (PDF)
Final Paper Deadline: Friday,
Final paper length is limited to 15 pages including the abstract, text, photos, and graphics.
Final papers must be at least 5 pages in length for inclusion in the published proceedings.
Authors whose abstracts and/or final papers are selected for inclusion in the technical program will be required to register for the conference at the appropriate fee, attend the conference, and make their presentations in person.
NOTE: Final paper submission is optional
Speaker/Author Registration Deadline: Friday, February 14
The deadline for speaker/author registration is midnight Friday, February 14, 2020, Eastern US Time.
EWRI requires that at least one author from your presentation register by the speaker registration deadline of Friday, February 14th. Presentations that don’t have AT LEAST ONE author registered by February 14th will be REMOVED from the technical program and associated papers will not be published in the proceedings.
Should an individual submit their final paper but fail to register by the deadline, that person's paper will be removed from the conference program and proceedings.
If you intend to submit only an abstract for presentation at the conference, you are still required to register by this date.
Speaker/author registration fees are nonrefundable after Friday, due to necessary advance production of the proceedings and the program. Exceptions will only be made for illness or emergency if the request is made in writing and accompanied by a doctor's note and/or similar official documentation stating the emergency and person's name. The subsequent refund will be made minus a $100 processing fee.
Note: Those giving an oral presentation will have to bring their slideshow files to the conference on a USB flash drive.
In most cases, oral presentations are limited to a total length of 20 minutes. This allotted time is intended for 15 minutes of actual presentation time, with an additional 5 minutes allowed for questions and answers. Times may vary dependent on final number of speakers in your session.
Visual aids are encouraged in the form of Microsoft PowerPoint slideshows, and presenters are urged to bring the slideshow files to the conference on a USB flash drive. Plan to bring the files associated with your presentation directly to the session room. By arriving early, presenters will have the opportunity to ensure that their files load and appear as expected during the session. When preparing PowerPoint files for your presentation, try to save the slideshow in a reverse-compatible format. The computers at the conference may be utilizing an earlier version of Microsoft Office, and therefore, may not be able to open or display certain files optimally that are created in a newer version. Laptops will not be provided for presentations. Please arrive at the session room approximately 15-30 minutes before the start time. This will provide you with an opportunity to meet your session chair/moderator and make certain that your PowerPoint slide is appearing correctly.
Keep in mind that conference staff are not available to print supplemental materials or visual aids. Presenters are responsible for these items, so please arrive prepared.

Lightning Round Talk
A Lightning Round Talk is 8 minutes in length, including Q&A. For an effective Lightning Round Talk, consider the following:
- Make your point, fast
- Use meaningful imagery and text
- Practice using a timer
- Finish strong
A partition will be assigned to poster presenters, with dimensions 2.44 m tall by 1.22 m wide (8 ft by 4 ft). You will have half of one side of the partition (4 ft by 4 ft) and another presenter will use the other half of the same side of the partition. Two presenters will use the other side of the partition.
Any format that fits in the available space is acceptable. Some posters are prepared as one, large sheet and usually brought to the conference rolled up in a tube. You may need to locate a large-format printer for this purpose, e.g., at a copy store. Other posters are prepared as a group of smaller sheets, which may be easier to prepare and transport. The format is up to you. Remember that you can refer to your proceedings paper for additional details. Pushpins will be supplied for you to secure your poster to the partition.
Large print should be used. Most viewers will stand about one meter away from your display and should be able to read your poster without crowding up to the partition. A minimum font size of 20 points is recommended, and larger is better. Remember that this should apply to your graphics as well. You should be able to read graph legends and scales from one meter. Do not simply bring a normal-sized copy of your proceedings paper.
Important Note: If for any reason you are unable to attend the conference and deliver your presentation, it is your responsibility to contact the appropriate session or conference organizer to make alternative arrangements.
Any posters not picked-up at the end of the poster display times will be discarded.
