Important World Environmental & Water Resources Congress 2020 and the Watershed Management Conferences Update

After much consideration, we've made the difficult decision to cancel the World Environmental & Water Resources (WEWR) Congress 2020 and the Watershed Management (WM) Conferences, scheduled to take place in Henderson, NV, on May 17-21, 2020. To proceed in an efficient manner, we offer registrants the following options:

  1. Transfer your registration to the next WEWR 2021 Congress in Milwaukee, WI, on May 23-27, 2021. We will honor attendee registration pricing from WEWR 2020 Congress should you choose this option. Your registration fees will remain on your account as unapplied cash, which you may use by contacting ASCE Customer Service or calling (800) 548-2723 by Friday, .
  2. Receive a full refund of the registration fee without penalty. Cancellations must be received in writing by emailing the ASCE Customer Service Team.

Registrants who do not indicate their cancellation options in writing by Friday, , will automatically be canceled and refunded.

Should you choose to be refunded, consider applying these funds to renew or purchase an ASCE-EWRI membership, or purchase one of our ASCE-EWRI journals or books & standards to complete your personal library.

Please rest assured that the final papers submitted to the WEWR Congress 2020 Proceedings and the WM Conference 2020 Proceedings will officially be published in the ASCE Library and will be discoverable. Proceedings papers will be freely available for three months after publication. The WEWR Congress 2020 Proceedings will publish in May 2020. The WM Conference 2020 Proceedings will be available at the end of July 2020.

A new Call for Abstracts will take place for the WEWR Congress 2021 and for the WM Conference 2021. Authors may choose to resubmit abstracts for consideration for either conference. Abstracts will be reevaluated for relevancy by the 2021 conference committees, respectively.

Regardless of the option you select, we recommend visiting the hotel website to manage your existing hotel reservation. Please make the best decision for your own health and safety.

Government employees are eligible for a $100 discount (off of the member or non-member full conference rates) by calling the ASCE Customer Service team at (800) 548-2723 and applying the discount during the registration process.

Confirmation of Registration

A confirmation will be emailed to all advance registrants within one week of registering for the conference. Advanced registrants will receive their name badges and tickets at the on-site registration desk during registration hours. If you do not receive confirmation within one week, please contact ASCE registration at (800) 548-2723 and ask to speak with Customer Services, or email [email protected]. Cancellations/Refunds

After careful deliberation, ASCE-EWRI will not be able to deliver the program as planned for May 20-21, 2020. We offer all registrants the following options:

2. Receive a full refund of the registration fee, without penalty. Cancellations must be received in writing by emailing the ASCE Customer Service Team. Please also indicate in this communication if you are canceling due to the COVID-19 Pandemic.

Badges

To receive a badge, you must register. Your name badge is your admission to the technical sessions and the exhibit hall. Pre-registered participants are to pick up their badges upon checking in at the on-site registration counter. Badge sharing is not allowed. Registration is per individual and is not exchangeable between colleagues.

ASCE Conference Policies

Age

Attendees under the age of 18 are prohibited. 

Assumption of Risk and Hold Harmless

All ASCE events and activities are purely voluntary activities, and attendees are fully responsible for their own conduct and well-being, including, and without limitation, determining their level of fitness to take part in any such event or activity. In participating in any event or activity, attendees shall be deemed to understand and accept all risk of possible physical injury that might occur as a result of such participation. Attendees agree to release and hold harmless ASCE and its affiliates, employees, officers, directors, representatives, and agents from any and all alleged and/or actual liability, claims, actions, lawsuits, damages, or losses, of any kind which arise out of or result from attendance at and participation in the conference.

Photo and Video Recording of Sessions

ASCE may take photographs and/or make audio and visual recordings of the event, and participants grant to ASCE the absolute right and permission to use any such photographs or recordings that may be taken during the event for any purpose in its sole discretion. 

Photos, video or audio recording(s) of any educational session for commercial use, is strictly prohibited without prior written permission from both ASCE/EWRI and the session presenter(s). 

Distribution of Literature or Promotional Information

Distribution of literature, samples, or other promotional material by attendees is prohibited without prior permission by ASCE. Any attendee found to be distributing literature without prior approval may be asked to leave the show. Exhibitors and sponsors may distribute literature, samples, and materials only within the confines of their rented booth space, except with prior permission from ASCE. 


ADA Compliance

If you require special assistance at the conference, please submit a written description of your requirements with your registration form or email [email protected] no later than April 17th, 2020. While ASCE/EWRI will make every effort to meet your needs, accommodations cannot be guaranteed without notification by the deadline. 

Attendee Packets

Advance registrants will receive their name badges and tickets at the registration desk during registration hours. Due to the time constraints near and after the registration cutoff date, the appropriate paperwork may not have been forwarded to the on-site staff before their departure. Please be sure to bring your confirmation e-mail and a copy of the original paperwork if you registered after June 17th, 2020.

Attire

The dress code for the conference is business casual (i.e. slacks, casual dresses) to business attire (i.e. business suits, neckties). Meeting room temperatures will vary, so wear layered clothing to ensure your personal comfort. We also recommend attendees wear comfortable shoes. Please note that certain events may have specific details on attire, and you should refer to the event for more information.

Professional Development Hours (PDHs)

Are a recognized unit of record in non-credit professional development programs – can be earned for participation in activities at this conference. If you registered for the conference and attended selected sessions below, you have earned Professional Development Hours.

You may pick up a convenient PDH tracking form to keep track of which activities you completed and the amount of credit earned.

Within thirty (30) days after the end of the conference, the session information will be uploaded into the MyLearning system. You will receive an email from the conference registration system with a link and detailed instructions on how to access MyLearning and to update your session attendance. By accessing the MyLeaning system for this conference, you automatically agree and certify you attended the selected sessions.

The system will remain open for 365 days from the receipt of the registration email to allow you time to make any adjustments and print your certificate and transcript. After that 365-day mark, you will need to contact ASCE Customer Service at [email protected] or (800) 548-2723 to modify your conference attendance information.

Badge Policy and Ribbons

Your registration name badge is your admission to the educational sessions. Tickets are required for the pre- and post-conference events, meals, and special events. Ribbons will be available at the registration desk. As a safety precaution, please remove your badge when leaving the hotel.

If you have lost your badge, please see an ASCE staff member at the registration desk. There may be a charge to issue a replacement – up to $25. Tickets cannot be replaced. If you are unable to attend an event you have purchased an extra ticket for, you will be able to turn it in to registration desk. Only if ASCE is able to sell your ticket, will you be able to get a refund. Tickets will not be refunded for no shows.

Meal Functions

Please arrive on time for meal functions. We cannot guarantee the availability of food for attendees who arrive late.  If it's a ticketed event, please make sure to have the correct ticket ready to hand to ASCE/EWRI staff.

Medical Emergencies

We hope that your visit to the conference will be free from illness or injury but in case you or a family member needs medical attention during your time at the event please contact the hotel's front desk. Hotel security/staff will respond immediately to your location. For life-threatening emergencies, such as chest pain, shortness of breath, or severe abdominal pain call 911.

Meeting Room Overcrowding

ASCE/EWRI will make every effort to schedule popular events in rooms large enough to accommodate anticipated attendance. Because many events are extremely popular, it is wise to select alternative events as you plan your conference schedule ASCE/EWRI and the host facilities are required to follow local fire regulations and may ask participants in rooms at capacity to choose another event.

No Smoking

ASCE/EWRI supports a “No Smoking” policy. Smoking is prohibited in the all venues hosting ASCE events.

Program and Session Cancellation

ASCE/EWRI reserves the right to cancel programs and/or sessions. In the unlikely event of a cancellation, all registrants will be notified and will receive a refund, if applicable, for technical tours, or ticketed events. Programs and sessions are subject to change, and ASCE/EWRI reserves the right to substitute a program, session and/or speaker of equal caliber to fulfill the educational requirements

Recycle Your Badge Holder. 

Please help ASCE stay “green” by returning your badge holder at the end of the conference in the receptacles provided by the registration desk.

Tour Policy

Tours will depart from the front of the hotel to take you to your destination. Please plan to arrive 15 minutes early, as buses will leave on time. ASCE cannot be held accountable or have the ability to provide transportation if you miss the departure time. Tours are available on a first-come, first-serve basis and have limited capacity. A separate registration fee is required to offset the costs involved with the tours. ASCE reserves the right to cancel a tour if the minimum registration is not met. Tour times are subject to change; please check with the conference front desk if you have any questions.
